Operations Resource and Billing Coordinator - Long-Term contract - REMOTE

Our direct client, a global firm, seeks an experienced, detail-oriented professional to assist in tracking and managing resources and budget spend and internal billing.  For this role we seek someone with solid excel skills and budget management experience, and ideally some human-resource data experience, with excellent communications skills to work with many different people throughout the organization.  This is a long-term contract (12-24 months) with immediate hire via video interview.  It is a REMOTE role working primarily east-coast hours.    

Job title: Operations Resource and Billing Coordinator

The Operations Resource & Billing Coordinator will work with the Business Management Office (BMO) to manage resource needs and financial recoveries from resources. Focusing on monthly resource charges from the vendor resources to the Member Firms and Global Finances, working closing with the Finance team to accrue accurately for these charges and managing the process for these charges to flow through. In addition, this individual will help maintain the open headcount recruitment tracker, ensuring that proper paperwork and approvals are gathered and submitted. In addition, the coordinator will maintain weekly updates of the recruitment tracker through meetings with recruitment and pillar department leads. Other responsibilities will fall in line with maintaining resource tracking and updating dashboards as needed.

Coordinate with security vendors on a monthly basis to invoice Member Firms and Global Functions for services; gathering the appropriate approvals for recharges

Coordinate with the Finance team for monthly accruals and proper submissions and follow up within the client's financial systems

Coordinate with department leads on requisition submissions for backfills and net new roles, preparing proper documentation, budget approvals, and submissions into the requirement systems

Meet with recruiters and managers on weekly basis to update recruiting tracker and ensure tracker is updated with latest information

Coordinate with contractor managers to review and approve weekly timesheets with contractors, ensuring accuracy in submissions

Help coordinate resource onboarding processes with appropriate BMO team members to ensure timely and smooth process.

 

Experience & Knowledge:

 

• Knowledge of recruiting lifecycles and requisitions management processes
• Knowledge with billing and invoicing clients and proven follow through with customers.
• Experienced with dashboards / reporting solutions for assessment results and remediation progress
• Ability to organize, track, and update across various data sets to ensure accurate updates
• Good knowledge of regional issues and structures, ability to work with people from many different cultural backgrounds
• Extensive and consistent experience in delivering complex projects throughout lifecycle.
• Ability to manage multiple processes and projects at once and utilize project management skills to drive work forward

Technical skills, abilities & qualifications

• Minimum four years of work experience with preferably in a professional services environment

• Ability to analyze and document a situation/scenario and propose options, recommendations and cost impact

• Highly organized and efficient in managing competing priorities

• Characteristics of a forward thinking and self-starter that thrives on new challenges and adapts quickly to learning new information

• Ability to manage multiple engagements on multiple projects

• Ability to handle stressful situations with perseverance and professionalism

• Proficiency with Excel, MS Office suite, MS collaboration tools such as Teams

Education


• Bachelor’s Degree from an accredited college or university or equivalent work experience
