Sr. Project Coordinator - Long Term Contract - Remote

We seek an experienced Project Coordinator to join our client's team, on a long-term contract basis (12-36 months).   This role is fully remote, will work primarily East Coast Hours.  

In this role, the Coordinator will play a key role helping a team compile and distribute a key operations manual which is used widely in the company.   This manual is published twice a year, along with training materials. There are about 20 people involved in contributing to and helping publish the manual, the Coordinator will help the team stay organized and aware of progress, deadlines, etc.  

Responsibilities include: 

1)    Manage Manual Delivery Schedule:

•    Coordinate with drafters to update for in-scope items

•    Coordinate batches of activities

•    Monitor schedule to identify duplicates and overlaps

•    Communicate QC’ed items to Manuals Support team

2)    Support publishing of the Manual:

•    Coordinate changes in activities between batches (during publishing process)

•    Assist with batch communications to team

3)    Update monthly status reports

4)    Coordinate updates to Artifact Tracker (central list of all resources for release)

5)    Track QC status and signoffs

6)    Coordinate training reviews

7)    Track team PTO (planned personal time off) 

8)    Provide support for MS Teams / SharePoint Online 

9)    Record team meetings, send out summary notes, update list in SharePoint Online

10)    Assist with documentation of certain processes

11)    Provide insight into areas of improvement / opportunities for efficiencies

 

Skills:

•    MS Word – specifically formatting – using styles, locked templates. 

•    Excel – must have a working knowledge of Lookup formulas, data validation, and common functions like If/And/or functions. Cross-sheet calculations. 

•    MS Access –using the publishing tracker Excel file to integrate with our Access reporting, they should have a basic understanding of database management/ reporting principles. 

•    Timelines and Process flows graphics – should be familiar with creating timelines and flowcharts in either Visio/ Powerpoint/ Excel applications

•    Nice to have – Knowledge of MS Project, OneNote

•    Should be familiar with the basic principles of Agile project management (ex: batch deliveries, constantly adapting to changes)
