Vendor Management Specialist- Hybrid

Our direct client in Poughkeepsie, NY is looking for an experienced Vendor Management Specialist to work closely with the technology business partners to establish new and improve vendor contracts and policies.  This position requires strong interpersonal and negotiation skills. The position will start as a contract for approximately 6 months then convert to full-time. It will be hybrid, onsite 3 times a week with one of the days being Wednesday in the Poughkeepsie, NY office. 
What is a Vendor Management Specialist (VMS)

Reporting to the VMO Information Technology Program Manager, the VMS is responsible for managing the needs of the Technology VMO Business Partners, in establishing new technology contracts; reviewing, expanding, and extending existing contracts; and fostering vendor performance and relationships.  The VMS facilitates and maintains strong technology vendor partnerships that support and align with strategic business objectives.  The VMS collaborates and supports the life cycle of technology contracts from initiation through execution, working with Business Owners, Legal, Contract Administration, IT PMO, Risk Management, and Cyber Security Teams.  They apply best practices to negotiate contracts and mitigate legal risk by assigning appropriate protections against vulnerabilities and ensuring compliance with vendor service level agreements.

What does a Vendor Management Specialist do?

  • Develop a structured vendor performance management framework to implement consistency across the vendor portfolio.

  • Perform overall contract oversight for performance management, including benchmarking and SLA tracking and report on results to all levels of the organization.

  • Facilitate and maintain relationships between strategic vendors and internal resources, including IT stakeholders and executive leadership.

  • Establish, prioritize, and track strategic requirements to be communicated to vendors.

  • Negotiate Contracts Agreements, Amendments, Statements of Works, including renewals, extensions, funding increases and the addition of services. 

  • Make improvements to procedures, workflow, and organizational processes, including a knowledge base of negotiating strategies, vender performance management, and conflict resolution. 

  • Work with business partners throughout the Request for Proposal (RFP) process, from project inception through the contract selection process.

  • Monitor vendor performance for adherence to SLAs and facilitate remediation when needed.

  • Design and develop standardized performance reporting scorecards and dashboards.

  • Work cross-functionally to establish and maintain strategic, high-profile contracts with new and incumbent vendors.

What does it take to be a Vendor Management Specialist?
Required:

  • Bachelor’s degree in Business Management, Computer Science, Supply Chain Management or equivalent.

  • 2+ years of experience managing contracts and relationships, or experience as an IT vendor managing customer accounts and relationships.

  • Ability to partner with other areas of the business (contract admin, finance, strategy) to track and report on vendor financial viability, vendor performance, business continuity, and corporate and regulatory compliance.

  • Experience with negotiating and managing contract life cycles, with an emphasis on technology or IT service agreements.

  • Understanding of contract commercial terms (warranties, intellectual property, indemnification) in IT agreements.

  • Experience working with all key departments (security, compliance, finance, tax, AP, legal and procurement), and knowledge of procurement and vendor management practices.

  • Strong interpersonal and communication skills (must be able to communicate effectively and clearly in writing and orally, both in one-on-one and in group presentations)

  • Strong project and process management skills, with the ability to handle multiple vendors and multiple contracts, as well as organize and prioritize a wide range of tasks.

  • Proven leadership skills demonstrating strong judgment, problem-solving and decision-making abilities.

  • Demonstrate a positive attitude, situational awareness, attention to detail, and ability to overcome challenges with tact.

  • Proficiency with Microsoft Suite (Word, PowerPoint, Excel, Project), Visio, SharePoint (experience with VMS technology).

Preferred:

  •  

    Training in, and experience with, collaborative techniques, team building, dispute resolution and communication.

  • Experience in data analytics; specifically, in compiling building reports/dashboards and presentations.

  • Prior experience building a VMO or led a transformation initiative for an organization.
